Before the solution implementation, all customer contracts were stored into a legacy not longer maintained repository. The contracts were scanned and transformed into 'tiff' format and uploaded manually into the legacy repository using a desktop client software interface. The solution now acts as a centralized document repository, integrated with several other applications (not only with the initially requested one) and manages all file attachments related to customer orders.
All customer contracts and related documents need to be stored inside an IT system in order to be easily retrieved and consulted by authorized staff.
Before the solution implementation, all customer contacts were stored into a legacy not longer maintained repository. The contracts were scanned and transformed into 'tiff' format and uploaded manually into the legacy repository using a desktop client software interface.
Recently a new Customer accounts activation application has been implemented within all sales outlets.
The current document storage solution could not integrate with this new system and offered very limited integration functions for other applications. It also manifested several errors which cannot be properly troubleshot and fixed sue to lack of maintenance.
The legacy data which was migrated summed up to several terabytes of stored files, with an yearly increase estimated at over 1 terabyte and close to 1000 users, almost all concurrent.
The peak recorded transactional volume was of over 2.000 contracts an hour.
A new system was provided with the same existing functionality while adding the much needed flexibility and manageability.
The solution now acts as a centralized document repository, integrated with several other applications (not only with the initially requested one) and manages all file attachments related to customer orders.
The system provides also an advanced new feature to users for updating the file attachment contents and later moments in time.
File formats were also no longer a limitation. Content manipulation (adding / removing pages) can now be done for scanned image files or multiple formats.
